What is AI automation?

AI automation is automation that includes steps requiring judgment, using an AI model to interpret, classify, summarize, or decide where a fixed rule could not.

Technical definition

AI automation incorporates model inference into an automated workflow, so steps that require interpretation of unstructured input can be handled without a human. Common applications include classifying inbound messages, extracting structured fields from documents, summarizing long content, drafting responses, and routing based on inferred intent.

The distinction from rule-based automation is determinism. A rule produces the same output for the same input every time. A model produces a judgment, which is more capable and less predictable, and therefore requires validation and a defined path for being wrong.

In plain terms

Normal automation follows rules you wrote. AI automation handles the steps where the rule would have been "it depends."

Moving a form submission into a spreadsheet needs no AI. Reading 40 inbound emails and deciding which are urgent does.

Why it matters

The practical skill is telling the two apart, because using AI for a step a rule could handle makes the workflow slower, more expensive, and less reliable for no gain.

Use a rule when the input is structured and the logic is definite: a form field, a date comparison, a status change, a numeric threshold. Use AI when the input is unstructured or the decision needs interpretation: free text, a document, a photo, an intent.

The part that determines whether it works in production is what happens when the model is wrong, because it will be. A misclassified support email is recoverable. An automated refund on a misread request is not. So the design rule is: AI proposes, and for anything consequential a human confirms. Log every AI decision so you can see how often it is right.

One risk specific to AI automation. When a model reads content from outside your business, such as inbound email or an uploaded document, that content can carry instructions aimed at the model. Narrow permissions and human confirmation are the defenses.
